  • Develop a thorough understanding of client objectives, expectations and preferences.
  • Manage multiple client programs and events simultaneously from initial planning through execution and post-event follow-up.
  • Coordinate closely with internal creative, production and event teams to ensure client expectations and program requirements are clearly communicated.
  • Manage the process from initial RFP through planning and onsite execution of corporate meetings, conferences, live events and other client programs.
  • Assist with program budgets, estimates, change requests and reconciliations while maintaining awareness of project scope and financial objectives.
  • Identify potential challenges early and collaborate with internal teams to develop solutions.
  • Ensure client deliverables are accurate, professional and completed on schedule.
  • Attend and support client meetings and events onsite.
  • Participate in internal planning, status and program meetings.
  • Develop a strong understanding of the organization’s production and creative capabilities and how they can support client programs.
  • Identify opportunities to strengthen existing client relationships and expand services.
  • Delegate and oversee appropriate work assigned to event coordination support.
  • Represent the organization professionally with clients, partners and vendors.
  • Travel domestically and internationally as needed to support client programs and events.

Qualifications

  • Demonstrated experience managing client relationships and serving as a primary point of contact.
  • Experience planning, coordinating or supporting corporate meetings and events.
  • Strong project management and organizational skills with the ability to manage multiple programs, deadlines and priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and relationship-building skills.
  • Ability to remain composed, flexible and solutions-oriented as priorities or client needs change.
  • Strong attention to detail and commitment to high-quality work.
  • Comfortable collaborating with creative, production, technical and operational teams.
  • Proficiency with Microsoft Outlook, PowerPoint, Word and Excel.
  • Bachelor’s degree in communications, marketing, business, hospitality, event management or a related field preferred.

Preferred Experience

  • Experience supporting clients within pharmaceutical, biotechnology or life sciences environments is a plus, but not required.
  • Experience supporting corporate meetings, national sales meetings, conferences, product launches, training meetings or other large-scale business events is highly valued.

Work Location & Travel

This position is based in Raleigh, NC and requires regular in-office attendance. This is not a remote position.

Travel is an expected part of the role, averaging approximately 25% annually, depending on client programs and event schedules.

What We’re Looking For

The right person for this role enjoys working directly with clients and takes ownership of their work. You should be someone who communicates effectively, anticipates needs, pays close attention to detail and follows through on commitments.

You do not need to come in knowing every industry or client environment. We’re looking for someone with a strong agency foundation, excellent client-service instincts and a genuine interest in learning their clients’ businesses.

Most importantly, we’re looking for someone who enjoys being part of a collaborative team and takes pride in creating an exceptional client experience from the first planning conversation through the successful completion of an event.
