Position Overview

We are looking for a detail-oriented Operations Assistant to support daily operations across office administration, order processing, billing and invoicing, customer service, inventory/warehouse work, accounting support, and sales support activities. The Operations Support Assistant will work with orders, invoices, inventory records, and reporting data while helping ensure smooth day-to-day business operations.

The successful ideal candidate will have strong organizational skills, attention to detail, and the ability to process large volumes of information with a high degree of accuracy. Strong data entry skills, including accurate typing, numeric entries, and proficiency with the 10-key, are essential to success in this role.

The Operations Support Assistant will also be required to travel approximately 3-5 times per year, for networking event purposes.

This is a full-time, on-site position located in Edmond, OK, working Monday through Friday from 8:00 a.m. to 5:00 p.m.

Key Responsibilities

  • Learn and understand all areas of our business to provide exceptional support.
  • Answer all incoming phone calls and emails promptly and professionally.
  • Track and manage orders to ensure timely shipment; follow up with clients and internal teams as needed.
  • Match orders to invoices and process billing accurately.
  • Accurately enter, update, and maintain customer, order, inventory, and billing data within company systems.
  • Track commission payments to ensure timely and accurate disbursement.
  • Inspect documents and artwork for accuracy and obtain client approvals.
  • Maintain accurate records and files daily.
  • Generate reports and analyze data using Excel formulas and Sage 100 accounting software.
  • Assist in resolving client inquiries with professionalism and accuracy.
  • Supporting sales efforts by processing orders and converting leads into confirmed sales.
  • Assist other departments as needed to ensure smooth operations.

Requirements/Qualifications:

  • 1+ years of experience in accounting administration, office, and sales support.
  • Will occasionally assist with light inventory-related tasks as needed; no heavy lifting required. Comfortable supporting periodic inventory organization and tracking responsibilities on an as-needed basis.
  • Proficiency with Windows-based applications, including Microsoft Word and Outlook. Must be strong in Excel.
  • Knowledge or working experience with Sage accounting software a plus but not required.
  • Strong and accurate typing skills, and proficient in numeric data entry and 10-key calculations.
  • Strong interpersonal and networking skills are required, with the ability to represent the company at networking functions confidently. The role also requires travel approximately three times per year for networking purposes.
  • High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or a related field is a plus, but not required.
