Position Overview
The Senior Client Billing Specialist supports the financial operations of a professional services organization by managing the end to end billing process for assigned clients and professionals. This role is responsible for ensuring timely, accurate invoicing in accordance with client agreements and internal policies, while delivering a high level of service to internal stakeholders and external clients. The position also contributes to process improvements and operational efficiency within the accounting function.
Key Responsibilities
- Prepare, review, and finalize client invoices in accordance with contractual terms and billing guidelines
- Partner with attorneys and administrative staff to ensure accurate entry of time and expenses
- Monitor and follow up on missing or unsubmitted time entries
- Ensure compliance with client billing arrangements, including alternative fee agreements and eBilling requirements
- Submit invoices through client eBilling platforms as required
- Post client payments and apply receipts accurately to open invoices
- Monitor accounts receivable balances and follow up on outstanding amounts
- Communicate with clients regarding billing questions and payment status
- Assist with month end close activities related to billing and receivables
- Maintain accurate billing records and supporting documentation
- Serve as a point of contact for billing related inquiries from internal teams and clients
- Provide guidance on billing policies, procedures, and system usage
- Identify opportunities to improve billing processes and workflows
- Ensure adherence to internal billing policies and client specific requirements
- Support internal audits and respond to requests for billing documentation
- Maintain and update client billing profiles, rates, and fee structures
- Process write offs, trust and retainer applications, and client refunds
- Assist with special projects and ad hoc reporting as needed
Qualifications
- Strong attention to detail, organization, and time management skills
- Ability to handle sensitive information with discretion
- Self starter who can work independently while collaborating with cross functional teams
- Strong customer service mindset and professional communication skills
- Proficiency with legal or professional services billing systems such as Elite, Aderant, Orion, or similar platforms
- Advanced Microsoft Excel skills and familiarity with financial systems and reporting tools
Education and Experience
- Bachelor’s degree in accounting, finance, business administration, or a related field
- Minimum of seven years of billing experience within a law firm or professional services environment
Communication Skills
- Strong written and verbal communication skills
