Legal Practice Assistant

A well-respected Chicago law firm is seeking a Practice Assistant to join its growing team. This is a full-time position supporting senior associates and counsel within a busy practice group, providing high-level administrative support and serving as a key resource for attorneys who manage complex matters and growing client relationships.

The role follows a 35-hour work week with a schedule of 9:30 AM-5:30 PM. The position is currently five days onsite, with the potential to transition to four days in-office once the Chicago office is fully established. The salary range for this position is $75,000-$95,000, depending on experience.

This is an excellent opportunity for a proactive administrative professional who enjoys being a true right hand to busy attorneys. The ideal candidate will have at least 3 years of administrative support experience, preferably within a law firm or professional services environment. The firm is seeking someone who is highly organized, tech-savvy, and forward-thinking, with the ability to anticipate needs, solve problems before they arise, and keep attorneys operating efficiently. Candidates who take initiative, connect the dots, and thrive in a fast-paced environment will be especially successful in this role.

Skills required and Job Duties include the following:

Job Duties:

  • Provide day-to-day administrative support to attorneys, including calendar management and workflow coordination
  • Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, transportation, and contingency planning
  • Prepare, review, and process expense reports and reimbursement requests
  • Enter, review, and maintain attorney time records in accordance with firm billing guidelines
  • Assist with billing functions, including reviewing and editing bills
  • Coordinate client meetings, internal meetings, events, and other attorney-facing activities
  • Maintain attorney biographies, assist with new matter openings, and support administrative reporting needs
  • Update and maintain CRM databases and assist with client relationship management initiatives
  • Support business development efforts, including client outreach, client gifts, and relationship-building activities
  • Serve as a primary administrative resource for attorneys and help facilitate communication with internal departments
  • Utilize firm technology and workflow tools to manage tasks, records, and administrative processes
  • Provide exceptional client service while handling sensitive and confidential information with discretion

Qualifications:

  • 3-5 years of administrative support experience, preferably within a law firm or other professional services environment
  • Strong ability to work effectively in a high-volume, fast-paced setting
  • Experience coordinating complex travel arrangements and managing demanding schedules
  • Strong organizational skills and exceptional attention to detail
  • Ability to prioritize competing responsibilities and consistently meet deadlines
  • Proficiency with Microsoft Office Suite and other business technology platforms
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and ability to work with professionals at all levels
  • Ability to work independently while also contributing to a collaborative team environment
  • Professional judgment, discretion, and commitment to confidentiality
  • Associate’s or Bachelor’s degree preferred
