Litigation Secretary
A national law firm is seeking a Litigation Secretary to join its Phoenix office. This is a full-time position supporting a small, collaborative team of three attorneys and one paralegal in a busy litigation practice.
The role follows a 35-hour work week with a schedule of 9:00 AM-5:00 PM. Employees work a hybrid schedule of three days in the office and two days remote, following an initial training period of one to two weeks working onsite full-time. The salary range for this position is $65k-$85k, depending on experience.
The ideal candidate will have 3-5+ years of litigation legal secretary experience, strong knowledge of Arizona court procedures, and experience using TurboCourt. Candidates with civil defense, commercial litigation, bankruptcy, or appellate experience are highly encouraged to apply.
Skills required and Job Duties include the following:
Job Duties:
- Prepare, edit, proofread, and file legal documents including pleadings, motions, discovery, subpoenas, correspondence, and other litigation-related materials
- Handle state and federal court filings, including electronic filing through applicable court systems
- Maintain attorney calendars, litigation deadlines, court dates, depositions, mediations, and arbitrations
- Coordinate meetings, travel arrangements, and other scheduling needs for attorneys
- Open new matters, maintain client files, perform conflict checks, and assist with file organization and retention
- Communicate professionally with clients, opposing counsel, court personnel, and internal team members
- Transcribe dictation and prepare documents from handwritten or electronic drafts
- Collaborate closely with attorneys, paralegals, and administrative staff to support workflow and case management
- Utilize workflow and document management software to organize and manage assignments
- Assist with additional projects and administrative tasks as needed
Qualifications:
- 3-5+ years of litigation legal secretary experience
- Experience with civil defense litigation, commercial litigation, bankruptcy, or appellate matters preferred
- Experience using TurboCourt is required
- Strong knowledge of state and federal court rules, procedures, and e-filing requirements
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office Suite, Outlook, Adobe, and legal document management systems
- Strong written and verbal communication skills
- Ability to maintain confidentiality and work effectively in a team-oriented environment
- Excellent attention to detail and ability to thrive in a fast-paced legal setting
