Beacon Hill Legal is seeking a personable, organized, and detail-oriented Intake Specialist to serve as a welcoming first point of contact for prospective clients. This role is ideal for someone who communicates with empathy and professionalism, thrives in a fast-paced environment, and takes pride in managing sensitive information and administrative responsibilities accurately and independently.

What You’ll Do

• Serve as the initial point of contact for prospective clients by phone, email, and online inquiry, providing a professional and compassionate experience.
• Gather and document intake information, initiate conflict checks, and ensure attorneys receive complete materials before consultations.
• Coordinate consultation scheduling, confirmations, reminders, fees, payment procedures, and follow-up on pending inquiries.
• Maintain accurate intake records and performance metrics, prepare reports, identify trends, and support improvements to client service and conversion processes.

Qualifications

• High school diploma or equivalent; prior administrative, customer service, or professional office experience preferred.
• Warm, professional communication skills with the empathy and discretion needed to assist individuals in sensitive or stressful situations.
• Strong organization, attention to detail, sound judgment, and the ability to manage competing priorities with consistent follow-through.
• General proficiency with Microsoft Office and the ability to learn firm-specific systems, procedures, and software; law firm experience is a plus but not required.
