Business Operations Representative (Contract)

- Duration: August 17, 2026 – December 31, 2026
- Pay: $20.00 – $22.00 per hour
- Work Style: full time on site during training. After training, one work from home day a week.
Position Overview
We are seeking a Business Operations Representative to support a document management and imaging team on a contract basis through the end of the year. While the current assignment is approved through December, there may be an opportunity for extension based on business demands and individual performance.
During onboarding and training, employees will work onsite five days per week for approximately 2 to 4 weeks. Following successful completion of training, the schedule may transition to four days onsite weekly. This role is based within a mail processing environment, and selected candidates will be required to complete a fingerprinting process.
The ideal candidate will demonstrate strong attention to detail, accuracy in data processing, problem-solving abilities, and experience working collaboratively in team environments. Proficiency with Microsoft Office applications and the ability to quickly learn new systems are essential. Team members are organized into specialized work groups focused on various business areas, with extensive cross-training opportunities available.
Key Responsibilities
- Operate document imaging equipment and associated software to support both front-end and back-end document processing functions.
- Build and maintain knowledge of business line products, related documentation requirements, handling procedures, and validation standards.
- Utilize document management systems to process electronic document imports, manage remittance-related work, and support service-level commitments.
- Take ownership of assigned work items, ensuring tasks are completed accurately, documented appropriately, and resolved within established timelines.
- Process ServiceNow requests efficiently while maintaining quality and accuracy standards.
- Demonstrate proficiency across multiple technologies and systems used within the department.
- Conduct research and follow-through activities independently while providing support to other operational teams as needed.
- Maintain compliance with regulatory requirements, including date and time-sensitive processing standards, while safeguarding confidential customer information.
- Partner with internal stakeholders to ensure document service expectations and service levels are consistently achieved.
- Monitor electronic document queues, review and validate data, and complete transactions in accordance with quality and compliance standards.
- Identify processing issues, implement corrective actions, and recommend preventive measures to reduce future errors.
- Prepare physical documents for digital conversion and scanning activities.
- Verify that documents are routed accurately to the appropriate business area and workflow.
- Utilize document imaging applications to scan, review, validate, and archive records into designated repositories.
- Maintain original documents according to established retention and storage requirements.
- Identify opportunities to streamline repetitive tasks and submit process improvement or automation recommendations.
- Collaborate with department leadership on initiatives focused on operational improvements, efficiency gains, and enhanced customer service.
- Perform routine scanner maintenance and cleaning to ensure equipment remains in optimal working condition.
