Executive Assistant to the Chief Executive Officer

Work Schedule:
Fully onsite | Monday-Friday, 8:00 AM – 5:00 PM


Position Overview

An established and growing organization is seeking an experienced Executive Assistant to support the Chief Executive Officer. This role is highly visible and critical to the success of the executive office. The Executive Assistant will act as a trusted partner to the CEO, providing high‑level administrative support, managing complex schedules and priorities, and overseeing time‑sensitive projects with accuracy and discretion.

This role requires someone who is business‑focused, highly organized, forward‑thinking, and confident interacting with senior leadership and external stakeholders. The ideal candidate brings strong executive presence, exceptional attention to detail, and the ability to operate with minimal supervision in a fast‑paced environment.


Key Responsibilities

  • Serve as a professional representative for the CEO and Executive Office
  • Provide comprehensive administrative and operational support to the CEO
  • Manage complex calendars, scheduling across multiple priorities and stakeholders
  • Coordinate domestic and business travel, including itineraries and expense reporting
  • Prepare meeting agendas, presentations, reports, and executive correspondence
  • Draft, edit, and proofread detailed memos with a high level of accuracy
  • Plan and coordinate large‑scale meetings, conferences, and events (200+ attendees)
  • Manage multiple time‑sensitive projects simultaneously from planning through completion
  • Handle confidential and sensitive information with discretion and professionalism
  • Act as the primary point of contact for internal and external partners
  • Review invoices and expense reports for accuracy prior to submission
  • Maintain organized filing systems and follow‑up processes
  • Anticipate executive needs and identify opportunities to improve workflows and communication
  • Support and mentor other administrative team members as needed
  • Assist with additional executive or organizational initiatives as required

Required Qualifications

  • Minimum 7+ years of experience supporting C‑suite or CEO‑level executives
  • Proven ability to thrive in a fast‑paced, high‑accountability environment
  • Strong project management skills with experience handling multiple priorities
  • Advanced proficiency in Microsoft Office, including Excel, PowerPoint, and Word
  • Excellent written and verbal communication skills
  • Experience preparing executive‑level correspondence and formal documentation
  • Demonstrated executive presence and professional judgment
  • High level of organization, attention to detail, and follow‑through
  • Ability to work independently with minimal supervision
  • Strong critical‑thinking skills and emotional intelligence
  • Typing speed of 50+ words per minute
  • Bachelor’s degree preferred

Preferred Experience

  • Event planning and coordination for large leadership or corporate events
  • Supporting senior leadership teams and collaborating cross‑functionally
  • Managing or mentoring administrative support staff

Work Environment & Physical Requirements

  • Fully onsite corporate office setting
  • Regular use of computer, phone, and office equipment
  • Ability to sit, stand, walk, and lift up to 50 pounds occasionally
  • Vision and focus requirements consistent with computer‑based work
