Our client is seeking a highly polished, capable Executive Assistant to support the Chairman and CEO of a global investment organization. This is a senior, high‑visibility role requiring exceptional judgment, discretion, and the ability to manage a fast‑moving schedule with many competing priorities. The position works closely with the Chief of Staff and a Personal Assistant and requires someone who genuinely cares about keeping everything running smoothly for their executive. Hours are generally 8:30am-5:30pm, with light after‑hours monitoring for urgent matters.

Key Responsibilities:

  • Provide high‑level executive support to the Chairman/CEO, including complex calendar management and meeting coordination
  • Manage a fluid schedule with frequent internal and external meetings, both virtual and in person
  • Coordinate extensive domestic and international travel, including commercial and private aviation, hotels, cars, visas, and itineraries
  • Ensure the Chairman stays on schedule and is fully prepared for upcoming meetings and engagements
  • Coordinate speaking engagements, conferences, media appearances, podcasts, and interviews in partnership with internal teams
  • Field and vet incoming calls and requests, exercising strong judgment and discretion
  • Greet and host high‑profile clients, investors, and VIP guests with professionalism and warmth
  • Process expense reports accurately and in a timely manner
  • Work closely with the Chief of Staff to ensure briefing materials and preparation are complete
  • Partner with the Personal Assistant, family office, and drivers to ensure seamless execution across business and personal logistics

Qualifications:

  • 5+ years of Executive Assistant experience supporting a senior executive in a fast‑paced environment
  • Bachelor’s degree required
  • Background open; experience in finance, politics, sports, or similarly high‑profile environments is a plus
  • Exceptional organizational skills with the ability to juggle multiple priorities
  • Strong written and verbal communication skills; able to draft clear, professional, and approachable emails
  • High emotional intelligence, good recall, and strong follow‑up habits
  • Calm under pressure, solutions‑oriented, and confident being assertive when needed
  • Proactive mindset with a genuine sense of ownership and care

Compensation/Benefits:

  • $150K-$200K total compensation (base + paid overtime + discretionary bonus)
