This onsite Executive Assistant and Office Manager role is based Boston, MA, supporting a real estate investment and property management firm. The position offers $33/hour on a contract basis, with hours of 8:30 AM to 5:00 PM and flexibility for some remote work upon potential permanent hire. The role supports a senior executive and helps manage daily office operations for a team of 18, with a strong focus on coordination, organization, and office culture initiatives.
Job Responsibilities:
- Manage complex calendar scheduling and coordinate domestic travel, including flights, accommodations, and itineraries
- Process expense reports and invoices, including construction-related billing through an online system
- Coordinate meetings, conference calls, and internal communications
- Draft, edit, and proofread correspondence and documents
- Maintain and update Excel spreadsheets for tracking and reporting
- Order catering and organize logistics for team lunches and events
- Support general office operations and serve as a point of contact for office needs
- Plan and execute team-building activities, events, and office culture initiatives
Candidate Qualifications:
- Prior administrative support experience, including calendar and travel coordination
- Experience with expense reporting and invoice processing
- Proficiency in Microsoft Office, including basic Excel skills
- Strong written communication skills with attention to detail in proofreading
- Ability to manage multiple priorities and coordinate logistics
- Comfortable working in an office environment with a small team
- Interest in contributing to office culture and team engagement
- Must be comfortable in a dog-friendly workplace
