Our client is seeking a highly organized, proactive Administrative Assistant to support the Business Development team within a leading private equity firm. This is a high-volume team support role providing administrative support to multiple senior investment professionals across a fast-paced, relationship-driven business development function. The ideal candidate is collaborative, personable, and excels at managing complex calendars, extensive travel coordination, and competing priorities with accuracy and efficiency. Hours are generally 8:45/9:00am-6:00pm with flexibility as needed, and the role follows a hybrid 4/1 schedule with Fridays remote.
Key Responsibilities:
- Provide administrative support to 2 Managing Directors, 1 Director, 4 Vice Presidents, 2 Associates, and 1 Analyst on the Business Development team
- Manage complex calendars and schedule internal, external, board, virtual, and in-person meetings
- Coordinate extensive domestic and international travel arrangements, including visas, accommodations, transportation, and detailed itineraries
- Process and manage expense reports through Concur
- Prepare and distribute meeting materials, presentations, and supporting documentation
- Maintain accurate records, databases, and administrative systems
- Serve as a professional point of contact for internal and external stakeholders
- Coordinate conference calls, Zoom meetings, and meeting logistics
- Support ad hoc projects and team initiatives as needed
- Anticipate scheduling conflicts and proactively resolve issues
- Partner closely with fellow administrative professionals to ensure seamless team coverage
Qualifications:
- 5+ years of administrative or Executive Assistant experience
- Bachelor’s degree required
- Experience supporting teams in financial services, legal, real estate, FinTech, consulting, or other professional services environments preferred
- Strong team support experience required; candidates coming from a true multi-executive support environment are highly desirable
- Extensive calendar management, travel coordination, and expense management experience
- Advanced Outlook scheduling proficiency required
- Strong Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook
- Excellent written and verbal communication skills
- Exceptional organizational abilities and attention to detail
- Ability to multitask and prioritize effectively in a fast-paced environment
Compensation/Benefits:
- Up to $110K-$120K base salary + paid overtime + discretionary bonus
