Our client is seeking a highly professional, service-oriented Administrative Receptionist to serve as the face of a leading private equity firm. This is a front-of-house and administrative support role requiring exceptional customer service, strong organization, and the ability to adapt to a fast-paced office environment. The ideal candidate is proactive, dependable, and enjoys creating a welcoming experience for visitors while supporting executives and office operations. Hours are generally 8:30am-4:30pm with flexibility for occasional overtime as needed, and the role is fully onsite five days per week.

Key Responsibilities:

  • Serve as the first point of contact for visitors, clients, and guests
  • Greet, register, and direct visitors while ensuring a welcoming and professional office experience
  • Manage the main phone line and route calls appropriately
  • Coordinate conference room scheduling, setup, and meeting logistics
  • Prepare conference rooms and assist with visitor and meeting support
  • Schedule meetings and proactively resolve calendar conflicts when needed
  • Support executives and administrative staff with general office requests
  • Prepare and edit documents, spreadsheets, and administrative materials
  • Coordinate mail, FedEx, courier services, and package tracking
  • Assist with expense processing and administrative workflows as needed
  • Partner closely with the administrative team to provide coverage and support

Qualifications:

  • 2+ years of corporate office, reception, or administrative experience
  • Bachelor’s degree preferred
  • Financial services, professional services, or fast-paced corporate office experience preferred
  • Strong Microsoft Office proficiency, including Outlook, Excel, Word, and PowerPoint
  • Excellent verbal and written communication skills
  • Strong customer service and professional phone etiquette
  • Exceptional attention to detail and organizational abilities
  • Ability to remain composed under pressure and manage competing priorities
  • Team-oriented mindset with a willingness to assist wherever needed
  • Flexible, adaptable, and eager to grow within a corporate environment
  • Interest in building a long-term career in reception and office administration

  • Up to $90K base salary + discretionary bonus
