This Senior Office Coordinator opportunity offers $28/hour , working 40 hours per week on a flexible schedule of 8:30 AM-5:30 PM or 9:00 AM-6:00 PM. The position is fully onsite in Boston and supports a professional services/staffing organization with a fast-paced, team-oriented environment. This is a highly visible role focused on office operations, client and candidate experience, project coordination, and administrative support.
Responsibilities:
  • Serve as the primary point of contact for visitors, clients, candidates, and business partners
  • Manage office communications, incoming calls, and voicemail distribution
  • Coordinate business travel and related arrangements
  • Oversee office supply procurement and vendor relationships
  • Manage business card ordering and distribution
  • Assist with monthly credit card reconciliation and accounting processes
  • Coordinate client engagement activities and sponsorship requests
  • Plan and execute internal events, programs, and employee celebrations
  • Support purchasing, procurement, shipping, mailing, and courier requests
  • Prepare, format, and convert documents, including PDFs and resumes
  • Lead and support company-wide initiatives and special projects
  • Identify and implement process improvements to increase operational efficiency
  • Collaborate with leadership and multiple departments to support business objectives
  • Handle ad hoc administrative and project-based assignments
Qualifications:
  • Local to the Boston area
  • Minimum 4+ years of office coordinator, office management, or administrative support experience
  • Strong Microsoft Office proficiency
  • Experience handling calls, travel coordination, procurement, project management, and special projects
  • Excellent verbal and written communication skills
  • Strong organizational, time management, and multitasking abilities
  • Detail-oriented with strong problem-solving skills
  • Comfortable taking direction from multiple stakeholders
  • Outgoing, friendly, team-oriented personality
  • Ability to thrive in a fast-paced environment supporting multiple office locations
  • Knowledge of administrative operations, office procedures, and accounting practices preferred
