Administrative Assistant to $85K – Leadership Support Role!

Our client, a financial services firm, is seeking an Administrative Assistant to support multiple team members at different levels in a fast-paced environment. This role blends calendar management, travel coordination, and meeting preparation, with project-based support and general executive assistance. The ideal candidate has strong administrative support experience, excellent communication skills, and the ability to stay ahead of shifting priorities.

  • Responsibilities include managing complex calendars and scheduling across multiple stakeholders; coordinating expense reports and travel arrangements, including occasional domestic and international trips; preparing documents, correspondence, and meeting materials with a high level of accuracy; supporting leadership with administrative and project-related work; assisting with board meeting preparation and research-based special projects; partnering closely with executive assistants and internal business partners across the organization; handling confidential information with discretion and sound judgment; and proactively anticipating needs in a fast-moving environment with minimal direction.
  • The ideal candidate possesses a bachelor’s degree; 3+ years of administrative support experience, ideally within a fast-paced corporate, financial, or professional environment; a proven track record of reliability and high performance; advanced proficiency in Microsoft Office, video conferencing tools, and related business technologies; exceptional organizational skills and attention to detail; strong written, verbal, and interpersonal communication skills; the ability to prioritize and manage multiple assignments under tight deadlines; confidence operating in a high-expectation, ambiguity-heavy environment; and a proactive, resourceful approach to support.
