Our client, a financial organization, is seeking an Executive Assistant and Office Manager to become a trusted partner to its senior staff while supporting the overall function of the office. Sitting at the center of the organization, this person will handle scheduling, board-facing coordination, and office-wide logistics. The ideal candidate brings 10+ years of executive support experience, strong judgement, and the confidence to operate independently.

- Responsibilities include providing comprehensive administrative support to a C-level executive, including calendar management, domestic travel coordination, and expense processing; preparing executives for meetings and ensuring smooth transitions between internal and external commitments; coordinating and supporting quarterly board and executive committee meetings, including meeting logistics, materials preparation, communications, and note-taking; serving as a key point of contact for high-level external stakeholders such as business leaders and member organizations; overseeing day-to-day office operations including supplies, vendors, equipment, and general office needs; proactively resolving operational issues and identifying solutions without reliance on defined processes; documenting workflows and building clear procedures to support continuity and efficiency across the office.
- The ideal candidate possesses 10+ years of experience in an Executive Assistant and/or Office Manager role; prior experience supporting senior executives in a professional services, nonprofit, or financial environment; exposure to board-facing work and comfort managing confidential communications; strong judgment, confidence, and the ability to set priorities and boundaries in a fast-paced setting; exceptional organizational and follow-through skills with a proactive, solutions-oriented mindset; polished communication skills and the presence to interact with senior leaders and external partners.
