Our client is seeking a calm, detail‑oriented Executive Assistant to support the Research Team within a well‑established investment management environment. This role supports Portfolio Managers and Analysts and is ideal for someone who enjoys being in a true support function and wants to build a long‑term career as an EA. Hours are Monday-Thursday 8:30am-5:30pm and Friday 8:30am-5:00pm. The role is fully onsite to start, with potential flexibility to move to a 4/1 schedule after the first three months.
Key Responsibilities:
- Provide administrative support to four research professionals, including Portfolio Managers and Analysts
- Manage complex calendars and scheduling across internal teams and external contacts
- Coordinate domestic and international travel, prepare itineraries, and manage logistics
- Process and reconcile expense reports accurately and in a timely manner
- Act as a liaison with brokers, banks, and investor relations contacts to coordinate conferences and investor days
- Track and manage conference registrations, deadlines, and related materials
- Maintain and update contact lists, watchlists, and internal documentation
- Assist with earnings‑season coordination, including tracking calls and distributing relevant materials
- Support meeting logistics including catering, room setup, and conference calls
- Partner closely with other Research Assistants to ensure coverage and collaboration
- Take on project work as needed, including research coordination and internal tracking
Qualifications:
- 3-5+ years of administrative or Executive Assistant experience in a professional office environment
- Financial services experience preferred
- Bachelor’s degree required
- Strong organizational and time‑management skills with high attention to detail
- Calm, composed demeanor with the ability to handle multiple priorities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office; experience with research tools a plus
- Team‑oriented mindset and interest in remaining in a career EA role
Compensation/Benefits:
- Up to $125K base salary + discretionary bonus
