- The lack of a formal onboarding and offboarding process for non-employee headcount resulted in inconsistent experiences for contractors and hiring managers. Many contractors started without system access, reducing productivity and complications with assignments and equipment returns. Solution
- OneBeacon developed and implemented a customized onboarding and offboarding program for all non-employee headcounts, including guidebooks and who to contact with questions. - OneBeacon established a single point of contact for Hiring managers and suppliers to simplify the procurement process.
- Our solution included a centralized model to manage the procurement and payment of external staffing resources which allowed for a more simplified and efficient invoicing process overall.

Achievements
- The new program ensured that contractors were properly provisioned and de-provisioned, streamlining the process and enabling more timely equipment returns, which saved both time and money. Additionally, it mitigated co-employment risks by clearly distinguishing contractors from the client's full-time workforce and providing them with a dedicated point of contact for any questions.
- The enhanced visibility into the client’s non-employee utilization enabled OneBeacon to provide immediately cost savings through overall business intelligence and transparency which was accomplished through pricing standardization and market analysis.
- The consolidated invoicing process resulted in enhanced efficiencies for AP and Finance teams, with managers no longer having to approve multiple invoices from individual supplier and cost centers.
- Cost controls: from 2023-2024 we decreased the average bill rate by $3.47 resulting in over $440,000 in cost savings.
