Flexible Support for Project Management Office Build-out During Major Internal Growth, Reorganization, and Transformation
Challenge
In the Summer of 2022, our existing client, an integrated, not-for-profit healthcare delivery system company, faced massive internal growth, including new management, process changes, and business transformation. To support these changes, they aimed to build and reorganize multiple project management offices (PMOs)—specifically, their information technology (IT) PMO.
While our client had internal talent to support company projects during the reorganization of their IT PMO, they needed to bring in project and program managers and technical project coordinators to support the moving parts of this initiative.
Further, our client recognized how vital flexibility was in helping to manage the expected—and unexpected—ebbs and flows in their project needs. As such, they determined they didn’t want a partner who provided a traditional statement of work (SOW) model that would lock them into a long-term commitment, forcing them to pay for unused talent during ebbs between projects.
Solution
Understanding our client’s desire for flexibility around project work, we proposed using our staff augmentation model to support their portfolio of SOW projects during their PMO build-out and reorganization.
Having been our partner for nearly a year, the client had already seen success with our model, as we were filling quality assurance (QA) positions, technical support specialists, software development lifecycle positions (e.g., database administrators, business analysts, etc.), and other roles.
Our proposed model offered our client exactly what they wanted: flexibility. Because we constantly source the type of talent they are looking for (including project and program managers, technical project coordinators with Agile, Waterfall, and a hybrid of Agile and Waterfall experience), we are better positioned to present the best candidates when needed. Our client isn’t locked into a long-term commitment, and they aren’t paying for a bench of experts to reserve them for future needs.
We’ve filled thirty-plus positions for our client’s project needs during their PMO build-out and reorganization. We’re pleased to share that, on average, we present four candidates for each position within twenty-four hours of receiving a request.
Achievements
As our client's business continued to grow and evolve, they identified a crucial need for business transformation. This led to the recognition of the need to establish an Enterprise PMO, merging the IT PMO with two other PMOs to cover all shared services. The client entrusted their three PMO managers with the task of reviewing all suppliers and selecting the best three to work with moving forward. This decision-making process kept everyone involved and informed.
We are proud to share that we were one of the three suppliers selected because of the success we collectively achieved for the IT PMO, including the quality of talent we provided and our dedication to our client’s success.
This is an ongoing project that we continue to support today, alongside supporting hiring needs outside of the PMO. As of March 2024, we have placed more than 150 consultants (including more than thirty for the PMO build-out and reorganization) since the start of our partnership in November 2021.
